The Movement Philosophy is a private health clinic providing physiotherapy and allied health services. We are committed to protecting the privacy of our clients in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What Personal Information We Collect
We collect information necessary to provide you with health and allied health services, including:
Full name, date of birth, contact details (phone, email, address)
Medicare number, health fund details, referral information
Medical history, current conditions, medications, allergies
Treatment notes, progress records, imaging or test results
Payment information
3. How We Collect Personal Information
We collect information directly from you — through intake forms, in-person consultations, email, phone, or our booking platform. We may also receive information from referrers such as GPs or specialists with your consent.

Provide safe and effective clinical care
Communicate with you about appointments and treatment
Process billing and health fund claims
Meet our legal and professional obligations
Send you health-related communications relevant to your care
5. How We Use and Disclose Your Information
We do not sell your personal information. We may share it with:
Other treating practitioners involved in your care (with your knowledge)
Your health insurer or Medicare Australia for billing purposes
Referring practitioners (e.g. GP) as appropriate
Our software providers under confidentiality agreements
Regulatory bodies where legally required
6. Storage and Security
Your records are stored securely in Splose, a cloud-based practice management platform. Access is restricted to authorised clinic staff. Physical records, where used, are kept in secure, locked storage. We use SMS communications via TextMagic for appointment-related messaging.
We take reasonable steps to protect your information from misuse, loss, and unauthorised access.
7. Overseas Disclosure
Our software providers (Splose, TextMagic) may store or process data on servers located outside Australia, including in the United States and European Union. We take reasonable steps to ensure these providers maintain appropriate data protection standards.
8. Accessing or Correcting Your Information
You have the right to request access to your personal information or ask us to correct any inaccuracies. To do so, contact us at tmpmove@gmail.com. We will respond within a reasonable time and in accordance with the APPs.
9. Complaints
If you believe we have mishandled your personal information, please contact us in the first instance so we can attempt to resolve the matter. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
10. Retention and Destruction
Health records are retained for a minimum of 7 years from the date of last service (or until a child patient turns 25, whichever is later), as required by law. After this period, records are securely destroyed or de-identified.
11. Updates to This Policy
We may update this policy from time to time. The current version is always available at our clinic and on our website.
